Capital H Group is a rapidly growing human capital consulting group with over 150 employees across offices in Chicago, Boston, New York, Detroit, Milwaukee, Houston, and Los Angeles. On the recruiting side, Capital H Group is especially well-known for assisting organizations with redesigning and strengthening their recruiting processes.
Although Capital H Group previously had an automated applicant tracking solution in place, it was unable to scale and grow to meet future business needs – both their own and that of their clients. Receiving $25 million in venture capital funds, Capital H has a strategic national growth plan, which relies on both organic growth and acquisitions, and needed a best practice technology solution to support projected growth. As they continue to expand, sharing data and having a centralized database for resumes was imperative from both a compliance and process perspective. Their clients were also experiencing growth and many had unique reporting and recruiting needs that could not be met by the current applicant tracking system.
“The solution we were using had some limitations with regards to meeting our need for separate databases or reporting capabilities, and we knew we needed a more flexible solution in order to grow and scale the business for the future,” said Carl Kutsmode, principal of Capital H Group Recruiting Solutions Practice. “The growth of our outsourced recruiting process and the needs of our clients is fueling the need to share data. Having technology and a central repository to capture resumes is really critical at this stage of growth. We needed a solution that would offer more visibility into our recruiting process and easier tracking for Equal Employment Opportunity Commission (EEOC) and Office of Federal Contract Compliance Program (OFCCP) needs.”
After reviewing offerings from five different vendors, Capital H selected PeopleFilter’s Applicant Tracking Solution to meet their talent acquisition goals. “We liked the PeopleFilter solution because of its intuitiveness and ease of use,” said Kutsmode. “We also like the various configurable functionalities that it has such as being able to send personalized emails to candidates when their status changes in the system.”
Learning the system is easy and Capital H Group took advantage of web-based training for their 50-plus recruiters to learn about various features and functionalities in the system. As new recruiters joined their staff, they too were able to take advantage of individual training sessions and feedback has been positive.
Recruiters and hiring managers both like the added efficiency the solution offers and notes that they are able to find qualified candidates faster. One feature fueling this efficiency is the knock out questions that filter the applicant pool so candidates that best meet or match job requirements are at the top of the queue.
“Having the solution in place moves the candidates through the process faster,” added Kutsmode. “It allows us to quickly acknowledge those that are being considered and move them forward. For those that clearly will not be considered because they do not meet minimum requirements, we can disposition them and notify them easier and faster than without the PeopleFilter solution.”
Capturing resumes in the system is also beneficial because many candidates come as referrals from other employees. PeopleFilter’s Employee Referral Portal supports employee referral programs and will not only keep applicants in the system, it will track all referrals and incentives and communicate to the employee in addition to reporting on results – all while making sure qualified applicants that come in as referrals don’t ‘fall through the cracks’ and are entered into the system.
Another appealing feature is the ability to create separate databases for each client in the system. Although they are secured by a firewall, the solution also enables a global view across all databases if necessary. Kutsmode notes that the PeopleFilter solution “allows us the ability to tailor each and every engagement to our client needs and not be forced into a one-size fits all solution.”
Having the centralized database to capture all candidate data will also allow Capital H to keep both themselves and their clients compliant with EEO and OFCCP tracking. For clients needing more detail to comply with the new EEO-1 laws, custom reports can be created through the PeopleFilter solution and tailored to meet individual client requirements.
“One of the biggest advantages of using the PeopleFilter solution is knowing we have a central repository to track appropriate EEO and OFCCP data on the front end to keep us compliant,” said Kutsmode. “It keeps us from losing qualified talent and with technology in place, we are easily able to see where candidates are in the process.
