Safe Keeping: Applicant Tracking Solution Enables Security Firm to Build Talent Database
When it comes to protecting property and enhancing security many businesses hire on-site security firms to keep watch over their valuable assets. Desiring to improve their recruiting process and build a database of talent to meet client security needs, the company implemented Arlington Heights, Ill.-based PeopleFilter’s applicant tracking solution (ATS). Through this solution, Diamond Detective has been able to streamline their recruiting processes and quickly locate qualified candidates to deliver superior security services to their customers.

Headquartered in Chicago Heights, Ill., Diamond Detective Agency is a U.S. family-owned security services provider. Diamond provides a full range of services to virtually any type of business or industry and has extensive experience in providing security services to public agencies including the United States Government, state, city, county and local government entities, privately held companies, and educational institutions and schools.

Operating across 16 states with regional offices in Miami, New York, South Carolina, Texas, and Utah, one of Diamond Detective Agency’s key recruiting challenges involves understanding and managing the varying state licensing requirements and necessary qualifications needed for their security positions when hiring. Like other companies in the industry, Diamond also experiences turnover and may hire more than 1,000 people each year.

“We describe ourselves as a ‘people business’ because we sell a service,” said Chris Adzia, Human Resources Director, Diamond Detective Agency. “One of our biggest challenges is the need to continuously find qualified candidates. When we advertise we get a lot of applicants, but previously had a manual process and no way to track them. We needed a solution that would offer better organization, streamline our processes and build a database of talent.”

Using a paper-based approach, Diamond was not only unable to keep track of job applicants, they were also unable to effectively share information between their various offices. Realizing they needed to build a database of talent to meet their growth and service goals and improve communication between their offices, Diamond replaced their manual approach with PeopleFilter’s flexible applicant tracking solution. PeopleFilter is a web-based applicant tracking and hiring optimization solution that allows for rapid identification and ranking of the most qualified candidates based on employer-defined job descriptions.

“The PeopleFilter solution meets our business needs by enabling us to organize a pool of candidates specific to every job and every area,” said Adzia. “What we are looking for in Wichita could be quite different than a position we need to fill in Miami. Through the PeopleFilter solution, we’re able to add as many jobs and areas and what positions we are looking to fill from security officers to sales people to executives in our corporate office.”

Adzia continued, “The PeopleFilter ATS is intuitive, however, we decided to go through training in order to learn more about the different features and get the most out of it. Our recruiters have found the system easy-to-use and feedback has been positive. Their use of the system has expanded and, as a result, as an organization we have become more productive.”

One way that Diamond Detective Agency’s recruiters have become more productive is in automating their communication with both internal and external audiences. Instead of email, fax or FedEx to get information to their area offices, everything from opening job requisitions to sharing information about an applicant is done right in the system.

“It has allowed us to communicate with our area offices quicker,” added Adzia. “We are able to conduct telephone screenings and input information right into the system rather than do it by paper. It is beneficial because you can stay more organized when you don’t have stacks of paper on your desk.”

Communicating with candidates has also improved and by being done in the system, recruiters save more time and can deliver a positive employment brand message to the people in communities in which they do business.

“One way to differentiate yourself from your competitionis by making sure everyone who applies has a positive experience,” said Adzia. “In just a few clicks we can generate email to candidates informing them where they are in the process, even if it’s to tell them we are not interested. Doing it manually, it just was not feasible to call every applicant. PeopleFilter gives us an easy solution to communicate back with anyone showing interest in our company.”

Streamlining processes is another benefit of implementing the PeopleFilter solution. Now, all of Diamond’s area offices are managing recruiting through the same process. Adzia notes that having consistency in their approach has enabled them to put policies and procedures in place on a national level.

Reporting has also improved delivering visibility into how the organization allocates its recruiting dollars. Each year, Diamond invests in newspaper advertising, online job boards and staffing agencies to source talent. In the past, they were unable to gauge the effectiveness of their resources. Through the system, they are now able to see where they are spending their money as well as what sources result in the most candidates.

“You can learn something from every candidate that shows interest in working for your organization whether you hire them or not,” said Adzia. “We use the PeopleFilter solution to track where we advertise and ascertain if we are allocating our funds wisely. And now, when we get good responses, we are able to keep them in our database and target candidates quickly when we need them.”

Adzia credits the solution with reducing their time to fill, streamlining their recruiting process and preparing the organization for future growth.

“As we grow, it’s due to putting more people to work.
